Team Frequently Asked Questions
  • Preferred Fixed Schedule: Preferred Fixed Schedule is designed for teams that prefer one consistent game day each week whenever possible. The season includes 6 regular-season games plus an end-of-season playoff. Blue and higher Red divisions may be combined with teams from Pond, Ballwin, Ellisville, and Valley Park. Lower divisions may be combined with Ellisville and other associations on final registration numbers.
  • Flexible Stlwest Schedule: Flexible STLWest Schedule follows the traditional STLWest format and includes an 8-game season. Games may be scheduled on weekdays, weekends, or multiple times in a week. Schedules are finalized during the STLWest Conflict Meeting on August 16 at the Ballwin Athletic Association.
  • Are game days guaranteed?: No. Scheduling depends on registration numbers, field availability, and partnering STLWest organizations. A minimum of 4 teams in the same age division, competition level, and preferred game day is required to form a Preferred Fixed Schedule division.
  • How are divisions formed?: Divisions are created after registration closes based on age division, competition level, registration numbers, scheduling preferences, and participation from neighboring STLWest organizations.
  • Will my team travel?: Yes. Teams should expect to travel for away games when divisions include teams from multiple participating organizations. However, if your opponent is also from your home organization, your away game may still be played at your home park.
  • What if my division doesn't fill?: If a Preferred Fixed Schedule division cannot be formed, PYA will work with neighboring STLWest organizations to combine divisions when appropriate. If a division still cannot be formed, coaches will be contacted to discuss available options, including placement in the Flexible STLWest Schedule or a refund.
  • What is the volunteer requirement?: Each registered player must provide one volunteer who is 21 years of age or older to complete one 4–5 hour concession stand shift during the season.
  • Do coaches have concession duty: Head coaches and assistant coaches who are officially rostered with the team are exempt from the concession volunteer requirement while serving in their coaching role. The volunteer requirement applies to all other registered players unless the $100 buyout is purchased.
  • What if I miss my volunteer shift?: Please contact PYA as soon as possible if you cannot make your shift. Volunteers who miss a confirmed shift without prior approval or rescheduling may be assessed a $200 no-show fee.
  • What if I don't sign up to volunteer.: If you do not sign up for a volunteer shift, PYA will assign one. If the assigned shift is not completed, a $100 volunteer buyout fee will be added to the registered player's account and must be paid before the player is eligible to register for the next season.
  • How will I sign up for my shift.: Volunteer shift sign-up information will be emailed after registration. Families will be able to select from available dates and times.
  • Can I work another family's shift.: A volunteer may complete multiple concession shifts on behalf of different registered players, provided PYA is notified in advance and the volunteer is approved for each assignment. The volunteer credit will be applied to the registered player(s) identified before the shift.
  • Can I be a paid substitute?: Yes. Adults age 21 or older may request to join PYA's substitute volunteer list. If a scheduled volunteer cancels or does not report for their shift, substitutes may be contacted to fill the opening. Substitute volunteers are paid $20 per hour for completed shifts (equivalent to the $100 volunteer buyout for a 5-hour shift).
  • When will schedules be available?: Preferred Fixed Schedule divisions will be finalized after registration closes. Flexible STLWest schedules will be finalized following the STLWest Conflict Meeting on August 16.
