Purpose of the Role
The Public Relations Coordinator ensures PYA communicates clearly, accurately, and consistently with the public. The goal is to keep families informed, highlight positive stories, and protect the organization’s reputation through thoughtful messaging and coordinated communication.
Primary Responsibilities
1) Public Communication & Messaging
Drafts and shares public-facing updates (announcements, reminders, event info)
Ensures messaging aligns with board-approved information
Maintains a clear, professional, and respectful tone in all communications
2) Website & Platform Coordination
Coordinates updates to the website and official platforms (as assigned)
Ensures information is current, accurate, and easy to find
Works with coordinators to publish approved content
3) Social Media & Community Presence
Manages or supports official social media posts (highlights, reminders, celebrations)
Promotes positive representation of PYA programs and values
Coordinates posting schedules to avoid conflicting or duplicate messages
4) Coordination with Board & Leads
Coordinates with board members and coordinators before public announcements
Ensures messaging reflects current decisions and policies
Clarifies details before publishing to prevent confusion
5) Event Promotion & Highlights
Supports promotion of registrations, tournaments, and events
Shares positive stories, milestones, and achievements
Helps maintain consistent branding across materials
6) Reputation Awareness & Escalation
Flags sensitive or high-risk communication issues to board leadership
Avoids public responses to conflict without board guidance
Supports consistent, unified messaging during sensitive situations
Role Boundaries
The Public Relations Coordinator does not make policy statements, respond to disciplinary matters, or commit PYA to positions without board approval. Sensitive issues, complaints, or crises are escalated to board leadership before public communication. This role focuses on clarity, consistency, and positive representation—not unilateral decision-making.
