PYA Youth Softball Coordinator

The Youth Softball Coordinator oversees PYA youth softball operations for the season. This role focuses on organization, coach support, communication, and consistency so the program runs smoothly and families stay informed.
Purpose of the Role
The Youth Softball Coordinator supports a positive, organized youth softball season by coordinating communication, helping coaches succeed, and aligning league requirements with PYA operations.
Primary Responsibilities
1) Season Planning & Coordination
  • Coordinates season timelines, division needs, and key dates
  • Aligns with scheduling and league requirements when applicable
  • Supports consistent standards across divisions
2) Coach Support & Communication
  • Serves as a key point of contact for softball coaches
  • Shares policies, updates, and expectations consistently
  • Helps route issues to the right lead when escalation is needed
3) Evaluations, Rosters & Team Formation (As Used)
  • Supports evaluations/tryouts communication and logistics (if applicable)
  • Coordinates with registration/roster leads for accuracy and deadlines
  • Promotes fairness and clarity in placement processes
4) Game Day Readiness Support
  • Coordinates with UIC/umpires, equipment, and safety as needed
  • Supports consistent rules/expectations communication
  • Promotes sportsmanship standards across teams
5) Division Standards & Issue Tracking
  • Tracks recurring concerns and flags them to board leadership
  • Supports consistent application of PYA policies
  • Maintains continuity for improvements year to year
6) Coordination with Tournaments & Events
  • Coordinates with Tournament Director for softball-hosted events
  • Helps communicate team needs and expectations
  • Supports smooth execution during peak weekends
Role Boundaries
The Youth Softball Coordinator does not set board policy, approve spending alone, or make disciplinary decisions unilaterally. Financial approvals follow Treasurer/board processes. Discipline and safety matters follow designated procedures and escalation paths.
