PYA Adult Softball Coordinator

The Adult Softball Coordinator oversees the adult softball league operations. This role focuses on league organization, communication, scheduling coordination, and game-day readiness to ensure a fair, consistent, and enjoyable season.
Purpose of the Role
The Adult Softball Coordinator ensures adult league play runs smoothly and consistently, with clear rules, timely communication, and coordinated support for scheduling, umpires, and facilities.
Primary Responsibilities
1) League Setup & Communication
  • Coordinates season communication, expectations, and key dates
  • Supports rules/format communication and FAQ-style clarity
  • Coordinates with Webmaster/PR as needed for public info
2) Team Management Support
  • Supports captains/managers with processes and expectations
  • Helps route roster/payment questions to the correct lead
  • Promotes consistent standards across teams
3) Scheduling Coordination
  • Coordinates with Schedule Coordinator on adult league needs
  • Helps communicate rainouts/reschedules using approved channels
  • Supports consistency in start times and field usage expectations
4) Game Day Operations Support
  • Coordinates with UIC/assigning to ensure umpire coverage (as applicable)
  • Coordinates with Park/Facilities and Concessions during high-volume nights
  • Helps address routine issues and escalates safety/discipline appropriately
5) Rules, Sportsmanship & Conduct Support
  • Supports consistent rules communication and expectations
  • Routes conduct concerns through Discipline/Safety channels
  • Promotes respectful league culture
6) Season Wrap-Up & Improvement Notes
  • Tracks season issues and improvement opportunities
  • Coordinates end-of-season communication as needed
  • Provides feedback to the board for future planning
Role Boundaries
The Adult Softball Coordinator does not set board policy, approve spending alone, or impose discipline unilaterally. Financial approvals follow Treasurer/board processes. Disciplinary actions follow established procedures and board direction.
