Board Role Definition
PYA Vice President
The Vice President supports the President and helps keep PYA running smoothly by
coordinating follow-through, stepping in when needed, and strengthening communication
. This role focuses on helping the board and volunteers succeed—without creating bottlenecks or confusion.

Purpose of the Role
The Vice President strengthens continuity and follow-through across PYA. This role helps the organization stay organized by supporting the President, tracking action items, and helping volunteers and committees move work forward in a consistent, coordinated way.
Primary Responsibilities
1) Support the President & Step In When Needed
Assists the President with planning, coordination, and prioritization
Steps in to preside over meetings or represent PYA when the President is unavailable
Helps maintain momentum during busy season peaks
2) Follow-Through & Action Item Tracking
Tracks action items from board meetings and checks progress with owners
Helps ensure responsibilities are assigned clearly and not dropped
Supports a culture of accountability without blame
3) Committee & Volunteer Support
Helps recruit, onboard, and support committee chairs and volunteers
Clarifies roles and handoffs so volunteers know what “done” looks like
Helps remove roadblocks and escalates issues appropriately
4) Communication & Alignment
Helps ensure board decisions are communicated clearly and consistently
Coordinates across programs to reduce duplicate work and confusion
Promotes respectful communication, especially during conflict
5) Projects & Process Improvement
Helps drive special projects assigned by the board
Identifies process gaps and proposes solutions to reduce volunteer burnout
Helps document procedures so PYA can repeat success year to year
6) Culture, Fairness & Support
Supports fair, consistent enforcement of policies and expectations
Helps create a welcoming environment for families, coaches, and volunteers
Reinforces teamwork, appreciation, and constructive problem-solving
Role Boundaries
The Vice President does not override commissioners, coordinators, or committee chairs, and does not take over day-to-day operations unless the board assigns a specific project. The Vice President’s role is to support coordination and follow-through—so responsibilities stay shared and sustainable.
