PYA Baseball Coordinator

The Baseball Coordinator oversees PYA baseball operations for the season. This role focuses on program organization, coach support, communication, and consistency so teams have what they need and families have clear expectations.
Purpose of the Role
The Baseball Coordinator ensures the baseball season runs smoothly by supporting coaches, aligning with league requirements, and coordinating key operations such as evaluations, team formation, and communications.
Primary Responsibilities
1) Season Planning & Coordination
  • Coordinates season timelines, key dates, and division needs
  • Aligns with scheduling and STL West requirements when applicable
  • Helps ensure consistent standards across divisions
2) Coach Support & Communication
  • Serves as a key point of contact for baseball coaches
  • Shares updates, policies, and “how it works” guidance
  • Helps resolve routine issues and escalates when needed
3) Evaluations, Rosters & Team Formation (As Used)
  • Supports evaluation/tryout logistics and communication (if applicable)
  • Coordinates with registration/roster leads on accuracy and deadlines
  • Promotes fairness and clarity in team placement processes
4) Game Day Readiness Support
  • Coordinates with UIC/umpires, equipment, and safety as needed
  • Helps ensure teams understand rules/expectations
  • Supports consistent sportsmanship standards
5) Division Standards & Issue Tracking
  • Tracks recurring challenges and flags them to board leadership
  • Helps maintain consistent application of PYA policies
  • Supports improvement plans for future seasons
6) Coordination with Tournaments & Events
  • Coordinates with Tournament Director for baseball-hosted events
  • Helps communicate team needs and expectations
  • Supports smooth execution during high-traffic weekends
Role Boundaries
The Baseball Coordinator does not set board policy, approve spending alone, or make disciplinary decisions unilaterally. Financial approvals follow Treasurer/board processes. Discipline and safety matters follow designated procedures and escalation paths.
