PYA Safety Coordinator
The Safety Coordinator helps ensure PYA programs operate with a strong focus on
player safety, volunteer preparedness, and risk reduction
. This role supports clear safety expectations, incident response guidance, and consistent communication.

Purpose of the Role
The Safety Coordinator promotes a safe environment for players, families, and volunteers by supporting consistent safety procedures, preparedness, and communication. The goal is to reduce preventable risk, respond effectively to incidents, and ensure safety expectations are understood across PYA.
Primary Responsibilities
1) Safety Standards & Communication
Helps publish and communicate safety expectations (weather, heat, hydration, lightning, etc.)
Promotes consistent safety reminders for coaches, volunteers, and families
Coordinates safety signage and posted procedures where applicable
2) Incident Support & Documentation
Assists with incident reporting and documentation when injuries/safety issues occur
Helps ensure incidents are escalated to the appropriate board lead promptly
Supports recordkeeping for recurring issues so the board can improve prevention
3) Safety Equipment Readiness
Coordinates with the Equipment Manager to ensure basic first-aid supplies are available
Helps confirm AED location awareness (if available) and how to access it
Encourages readiness plans for fields/events (ice, first-aid kits, emergency contacts)
4) Facility & Field Safety Checks
Flags unsafe field/facility concerns (holes, fencing, lighting, debris, etc.) to the right lead
Supports consistent reporting pathways so issues are addressed quickly
Works with operations/field leads to reduce repeat hazards
5) Training & Preparedness Support
Supports basic safety guidance for coaches (concussion awareness, heat illness, injury response)
Encourages consistent “what to do” steps for common scenarios (bee stings, bleeding, etc.)
Works with board leadership on annual safety reminders and quick-reference resources
6) Risk Awareness & Escalation
Escalates safety concerns that could create organizational risk or repeated harm
Supports consistent enforcement of safety rules (helmet use, warmups, field access, etc.)
Helps the board identify trends and prioritize preventative improvements
Role Boundaries
The Safety Coordinator does not provide medical diagnosis or replace emergency services. Coaches and adults on-site remain responsible for immediate supervision and response. The Safety Coordinator supports procedures, documentation, and escalation through established board channels. Policy changes and major safety decisions are made by the board.
